What is InstiPro?
InstiPro is a tool for project management and follow-up of research projects. This includes a complete and holistic reporting solution that supports the follow-up of the individual project with regard to costs, budget, staffing and financing.
The solution is suitable for you who are a researcher, project manager, head of department or head of research. In addition, InstiPro can also be used centrally in the business to handle project-related processes that are normally handled by project controllers, the finance department and management.

Project management ^
Financial project management of research projects
Project management in InstiPro is primarily carried out in the Project status screen. Project Status comes with a set of predefined reports that can be easily customized and saved as favorites. It should be easy for a project manager to use InstiPro without much training or the necessary financial background.
In Project status, only relevant information about the project appears, focusing on the figures that the project manager must follow up. This forms the basis for the project follow-up and dialogue with either the employees working on the project or with the finance department or the head of department. In other words, it should be easy to see what needs to be followed up and clarified with others.
In all screens and overviews in Project status, it is possible to click down behind the numbers to get all the details. Our opinion is that the project manager primarily wants to know how much money is left on the project, followed by the reasons why.
Financing module ^
Tool for income calculation of research projects
The financing module plays a central role in project management. It calculates external income and use of the basic grant dynamically, only by adjusting the rules for funding. There is no need for manual registration of transactions for revenue provision in order for the reports to show correct results.
The module automatically settles “Assignment in progress” and “Invoiced income in advance.” In addition, it handles and makes visible planned deductibles and unexpected “losses” or “gains” within the project. The dynamic income determination enables advance invoicing against external clients regardless of incurred costs.

Total funding ^
The project’s total funding shows at all times how much money the project has available. The funding emerges on the basis of a systematic registration of all contracts and grants from various clients and funding sources.
Total funding reduced by consumption then forms the figure for “How much money is left on my project?”. Together, this gives the project manager and the finance department a running overview of all remaining funds in the project.
Staffing ^
Manage staffing of research projects
InstiPro can be used to plan and staff project staff on the various projects. Interval (e.g. month, quarter, etc) is chosen individually for the project. It is possible to staff in hours or amount. The latter based on the solution keeping the hourly rate on the project in order.
The employee is also connected to a work schedule, so that InstiPro has an overview of who has free time and who may have too much to do at all times.
The result of the staffing can easily be transferred to a cost budget for the project.
Time registration ^
The project employees keep their own timesheets. All projects that the employee has in his time portfolio are always shown in the time list. Flexi time and holiday balance are automatically displayed based on hours worked and normal time per day. The timesheet also shows how many hours of remaining staffing the employee has for the given project. Where there are red numbers, the employee has worked more hours than he is allocated to the given project.

InstiPro in interaction with the company's ERP solution ^
InstiPro is dependent on receiving project-related costs from the accounts. We have therefore ensured that you can easily import relevant transactions from the company’s ERP solution into InstiPro.
InstiPro comes with a user-friendly solution for importing project-related cost vouchers directly from the accounts. The import solution has extensive validation and also keeps track of whether the costs have been imported previously.
In addition, time transactions can be imported, especially if the hours are not recorded directly in InstiPro, but in an external time registration system. Master data on employees and projects can also be transferred from other professional systems.
